Junk Car Lead Duplicate Detection: Same Seller, Same Vehicle, or New Opportunity?

A repeat phone number does not always mean a duplicate, and a different email does not always mean a new seller. A reliable process compares the person, vehicle, sale event, and timing, then records why two inquiries were linked or kept separate.

Define the unit being counted

For pipeline reporting, the useful unit is usually one seller inquiry about one vehicle and one current sale decision. Call attempts, form submissions, texts, and emails are contact events attached to that inquiry. A completed purchase is a separate outcome tied to the same record.

Write the definition into the CRM and reporting guide. Otherwise marketing may count form submissions, intake may count conversations, and purchasing may count vehicles, producing different “lead totals” from the same activity.

Use strong and supporting match signals

A complete vehicle identification number, when appropriately collected and protected, can be a strong vehicle signal. Seller phone, email, name, vehicle year/make/model, plate information, location, title details, and timestamps can support a match. No single field should automatically merge every record.

Phone numbers are reused or shared. Family members may submit for the same vehicle. One seller may have several vehicles. A typo in a VIN or email can make the same inquiry appear different. Use a confidence rule and manual review for conflicts.

Separate three common outcomes

Do not merge two owners simply because they live at the same address. Do not create a new lead every time the same person submits another photo or corrects a vehicle fact.

Create an explicit duplicate window

If a lead agreement defines a duplicate period, use that contract definition for provider reviews. The internal CRM may still link older related records for context. Keep contractual eligibility and internal record management as separate fields.

Record the original lead ID, related IDs, match reason, reviewer, review date, and decision. Preserve the delivered record rather than deleting it from history.

Standardize incoming data first

Normalize phone formats, trim spaces, use consistent capitalization, and separate structured vehicle fields. Do not “correct” uncertain values without preserving the original input. Flag partial identifiers and conflicting vehicle descriptions for review.

Hypothetical duplicate review—not actual results

A report contains 75 form submissions. Review finds 8 repeated submissions for the same seller, vehicle, and active sale event; 3 submissions from the same sellers about different vehicles; and 2 shared household numbers tied to different owners. Only the 8 repeated submissions are merged. The unique-inquiry count is 75 − 8 = 67. Merging all 13 similar records would incorrectly remove five legitimate inquiries.

Route uncertain matches to a short queue

Create a “possible duplicate” queue with a response deadline. Show the conflicting fields side by side and let a trained reviewer choose same, related-new, or different. While the review is open, prevent automated duplicate contact without hiding the inquiry from the responsible owner.

Use a small set of reason codes: exact vehicle match, same seller and vehicle, different vehicle, different owner, new sale event, shared contact information, insufficient evidence, or test. Add a note only where the code cannot explain the decision.

Recalculate reports after resolution

When records are merged, update unique inquiry counts without erasing delivery events. Keep costs tied to the appropriate contract or source rule. Do not automatically remove a provider charge merely because the internal CRM grouped records; billing eligibility depends on the agreement.
