Out-of-Area Towing Leads: Build a Territory Exception Workflow
A customer can appear inside a target city while the disabled vehicle is outside the towing company’s operating area. Another request may be just beyond a boundary but still practical because a truck is nearby. A territory exception workflow verifies the actual job, applies one rule, and prevents intake from making unsupported promises.
Define the normal service area operationally
Store an approved list of cities, postal codes, map zones, or dispatch polygons with an effective date. Include any limits that matter, such as pickup-only coverage, destination restrictions, service type, operating window, vehicle class, or truck availability.
A marketing radius is not automatically the same as a service commitment. The company should define what dispatch can actually support and keep advertising, lead delivery, intake, and operations aligned.
Verify both ends of the tow
Collect the pickup location, destination when known, vehicle, condition, access, requested service, and callback number. Confirm which location is the disabled vehicle rather than assuming the caller’s current location is the pickup.
Use the best available address or clear landmark under the company’s process. Do not ask a caller in an unsafe position to walk into traffic or take unnecessary risks to provide a pin. If the caller reports an emergency, injury, fire, collision hazard, or blocked traffic lane, direct them to emergency services and appropriate authorities.
Use accept, decline, and review outcomes
- Accept: the verified job matches the current territory, service, and capacity rules.
- Decline: the job clearly falls outside an approved boundary or capability.
- Supervisor review: the location is near a boundary, the destination changes the decision, or current truck position may create a documented exception.
An exception should have a named approver and a short response target. Intake should not promise service while the record is under review.
Calculate the operational route, not a straight line
A straight-line distance can hide bridges, restricted roads, tolls, terrain, traffic, or a long return trip. Dispatch should evaluate the company’s normal route and occupied time method, then decide whether the job fits current capacity.

A pickup is 14 routed miles from the assigned truck, the loaded trip is 9 miles, and the expected repositioning distance is 7 miles. The modeled movement is 14 + 9 + 7 = 30 miles. If the normal boundary was defined only as “15 miles from the office,” that label would miss the current truck position and return requirement. The dispatcher still must apply actual pricing, time, traffic, vehicle, and safety rules.
Create exception reason codes
Use codes such as near-boundary pickup, covered pickup with outside destination, outside pickup with covered destination, truck already nearby, special equipment unavailable, route restriction, capacity unavailable, partner handoff, or insufficient location information.
Record the original location, verified location, reviewer, decision, timestamp, and reason. Do not rewrite the lead source record to make an exception appear in-area.
Handle partner referrals carefully
If the company refers work to another provider, define who is authorized, what customer information may be shared, how permission is captured, and who owns pricing, dispatch, service, and complaints. Verify the partner under the company’s standards and agreements.
Do not present an independent provider as the same company or promise its availability. When no approved handoff exists, give the customer a clear decline instead of sending personal information to an unknown operator.
Report territory issues separately from lead quality
Compare delivered territory settings with the verified pickup location and the written lead agreement. A customer may enter an in-area city while describing an out-of-area pickup, or the company may have changed coverage without updating delivery settings.
Track source-setting issues, customer-location clarification, and internal capacity as different categories. Use the lead quality review process for evidence-based provider questions.
