Towing Quote Intake Checklist: Ask Before You Dispatch
A consistent quote starts with a consistent intake. The goal is not to diagnose the vehicle over the phone. It is to gather enough information for your trained operator or dispatcher to decide whether the request fits, what assumptions belong in the quote, and what needs confirmation.
Capture the two locations precisely
Record the pickup address or a clearly identified road and direction of travel, plus the destination requested by the customer. Confirm city and ZIP code rather than relying on a business name alone. If the vehicle is in a garage, gated lot, repair shop, impound facility, or restricted-access area, note access hours and who can authorize release.
Ask the caller whether they are currently in a safe place. If there is an immediate danger, collision, injury, fire, fuel leak, traffic hazard, or other emergency, tell them to contact emergency services and follow the instructions of authorities. A lead form or sales call is not an emergency channel.
Identify the vehicle without assumptions
- Year, make, model, and body style if known
- Approximate size or weight class when relevant to your process
- Whether it is electric, hybrid, all-wheel drive, or modified, if known
- Whether the keys are present
- Whether it rolls, steers, and brakes, stated separately
- Visible damage, missing wheels, flat tires, or locked steering
“It does not run” is not a loading plan. A vehicle may fail to start but roll freely, or it may have collision damage that prevents ordinary loading. Train intake staff to mark unknown items as unknown instead of converting guesses into facts.
Clarify what the customer is requesting
Separate towing from roadside services such as a jump start, tire change, fuel delivery, or lockout request. Availability and suitability depend on the operator. If the caller is uncertain, document the symptoms they report and let the qualified service provider decide what can be offered.
Ask about timing: immediate assistance, a scheduled move, or a flexible pickup. Confirm the callback number and the name of the person who will meet the driver. If a shop is receiving the car, ask whether the customer has confirmed that it is open and will accept the vehicle.
Write the quote assumptions next to the price
A number without scope invites disagreement. Record what is included, what distance or service window was assumed, and which facts could change the quote. Explain who will confirm the final amount and when. Do not describe an estimate as guaranteed if an inspection, exact mileage, access condition, or requested service remains unknown.
Request A is a sedan that rolls and steers, accessible in a driveway, with a confirmed destination 8 loaded miles away. Request B is described only as “a car in a parking structure” with locked steering and no key. Even if both map to the same mileage, Request B has unresolved access and loading questions. The correct next step is confirmation by the operator—not copying Request A’s quote.
Use a read-back before ending the call
Summarize the pickup, destination, vehicle, reported condition, requested timing, quote or estimate, payment expectations, and next step. Ask the caller to correct anything inaccurate. A 20-second read-back catches wrong street numbers and misunderstood destinations before a truck is moving.
Then set expectations for communication: who will call next, what number may appear, and what the customer should do if circumstances change. Do not promise an arrival time unless your operation is prepared to stand behind the stated method of estimation.
