Call-Tracking QA for Towing and Roadside Campaigns

A dashboard can count calls while the phone rings the wrong team, an after-hours route goes unanswered, or the same caller is counted twice. Call-tracking quality assurance tests the complete path—from the number a customer sees to the operational and marketing records produced after the call.

Inventory every number and its job

Create a controlled list with the displayed number, owner or provider, campaign, channel, market, service, destination number, routing schedule, backup route, recording status when applicable, privacy notice owner, start date, expected end date, and test owner.

Include numbers shown in ads, landing pages, map profiles, partner pages, printed material, and call extensions. Mark numbers that must remain permanent separately from numbers intended only for dynamic or campaign tracking.

Understand platform-owned forwarding numbers

Google Ads says call reporting uses a Google forwarding number to route calls to the business and measure call details. Its official call-reporting guidance also warns that those numbers are Google’s property and may change or be reassigned, so they should not be used outside call reporting and website call-conversion tracking.

Do not copy a platform forwarding number into a footer, business card, map listing, or long-lived directory. Store the business destination number and the campaign configuration as the durable records.

Test the customer path, not just the ring

Run controlled tests from a device or test method your process can identify. For each scenario, verify the displayed number, the destination that answers, greeting, menu, ring duration, overflow behavior, voicemail, caller ID behavior, dispatch handoff, CRM record, source label, conversion event, and final job record.

Test business hours, after hours, weekends, busy lines, no answer, rejected calls, transfers, and backup routing. If the system inserts a whisper message or source announcement, ensure it does not create a confusing delay for the caller.

Define calls and conversions separately

A phone call is not automatically a qualified lead, a booked job, or completed work. Google Ads allows advertisers to define phone-call conversions using settings such as a minimum duration; its call reporting analysis guide notes that a call shorter than the chosen threshold can be reported as a phone call without being counted as a call conversion.

Keep platform conversion rules documented, then reconcile them with operational outcomes. A long wrong-number call can exceed a duration threshold, while a short, high-intent caller might arrange a callback. Use the platform event for advertising optimization and the job record for business results.

Hypothetical test—not a performance claim

A team runs 24 controlled calls across 4 routes: towing-hours, towing-after-hours, roadside-hours, and roadside-after-hours, with 6 scenarios per route. Twenty-two calls reach the correct destination, so route accuracy is 22 ÷ 24 = 91.7%. However, only 20 produce the correct CRM source label, so source-label accuracy is 20 ÷ 24 = 83.3%. Reporting both rates prevents a working phone route from hiding an attribution problem.

Use a launch and change checklist

Watch for number-pool problems

Dynamic number insertion systems can misattribute sessions when the pool is too small, traffic spikes, scripts fail, or visitors return later. Monitor pool exhaustion, fallback-number use, script errors, and sessions without a source label. Do not assume that a displayed tracking number proves the source record is correct.

When changing website code or campaign settings, run the conversion tracking audit again. Test one real user path through the published page rather than validating only a tag interface.

Create an outage procedure

Define what happens when a tracking vendor, phone provider, internet connection, dispatch system, or destination line fails. The procedure should identify the direct fallback number, authorized routing changes, customer-facing update, test owner, incident start and end times, and reconciliation method for calls received during the gap.

Never change multiple routes without a change log. A quick fix that restores ringing but removes source labels should be recorded as partial recovery, not full resolution.

Review reports with operations

Marketing can confirm impressions, clicks, calls, and platform conversions. Operations can confirm unique inquiries, answered calls, service fit, dispatch, completion, and collected revenue. Bring both views together by job or lead ID while preserving each system’s raw record.
