Motorcycle Towing Leads: An Intake and Routing Checklist

A motorcycle towing inquiry needs more than a pickup address and a destination. Wheel condition, steering, access, bike type, and the carrier’s actual equipment can change whether a request is routine, needs dispatcher review, or belongs outside the company’s capability. A structured intake keeps the lead useful without letting the form make a safety or equipment decision.

Preserve the request before qualifying it

Record the caller’s original description, contact details, requested timing, pickup point, and destination first. Then add verified operational fields. This distinction matters: a lead provider can deliver an inquiry, while the towing company remains responsible for deciding whether it can accept and safely perform the service.

Tag the record as a motorcycle inquiry rather than burying that fact in notes. Connect it to the broader towing service taxonomy, but keep motorcycle-specific details in separate fields.

Confirm the bike and its movement

Do not instruct the caller to lift, push, inspect, or move a motorcycle in an unsafe setting. If the bike is in active traffic, near fire, or part of an emergency, emergency services and scene authorities take priority over ordinary lead intake.

Verify pickup, destination, and access

Capture full addresses or map-confirmed locations, not just city names. Ask whether the bike is on a roadway, shoulder, parking deck, driveway, repair shop property, or another location. Note gates, height restrictions, steep grades, narrow access, underground parking, stairs, soft ground, and any requirement to coordinate with property staff.

Confirm the destination and its receiving hours. A repair shop that is closed may not accept the motorcycle, even when the tow itself is possible. Separate requested pickup time from the company’s estimated response; dispatch should set expectations after reviewing capacity and travel.

Route by capability, not by a broad “tow” label

Build three outcomes: accept, decline, and dispatcher review. Routine criteria might require a serviceable pickup location, a known destination, compatible vehicle condition, an authorized requester, and equipment that the company has confirmed is available. Collision damage, inaccessible parking structures, missing wheels, uncertain weight, unusually configured motorcycles, or recovery conditions can go to review.

The company should define securement methods, carrier selection, staffing, training, insurance, and safety procedures. Document authorization without overclaiming

Ask whether the caller is the registered owner, authorized operator, property representative, insurer, repair facility, or another party. Record what was stated and what documentation the company requires before service. A name, key, or possession of the bike is not automatically sufficient authorization under every circumstance. The operator should follow applicable state and local rules plus its own written policy.

Hypothetical weekly intake—not a performance promise

A company receives 25 unique motorcycle towing inquiries. Sixteen meet its written routine criteria, five need dispatcher review because of wheel condition or access, three are outside the service area, and one is a duplicate. The routine share is 16 ÷ 24 unique nonduplicate inquiries = 66.7%. That percentage describes intake classification, not completed jobs or revenue. If four of the five review records lack wheel-condition data, adding one required question may reduce avoidable review.

Measure the handoff

Track time received, time reviewed, acceptance decision, reason code, assigned unit, customer confirmation, and final outcome. Keep “not accepted,” “customer canceled,” “could not verify authorization,” and “service completed” as different outcomes. This makes it possible to improve lead criteria without rewriting the history of the original inquiry.
